When you are preparing to apply Japan visa, please pay attention to below notes.

  1. Mandatory Passport Validity Rule (Applicable to all airlines worldwide) Your passport must remain valid for at least six months beyond your scheduled departure date from Japan, with a minimum of two consecutive blank visa pages. Airlines will deny boarding if your passport is damaged or missing pages.

  2. Valid Physical Visa Sticker For conference attendance, you need a short-term business visa issued as a physical sticker; electronic visas are not available for this category. Electronic tourist eVISAs are solely for sightseeing purposes. Presenting an eVISA for conference travel may result in denied boarding or deportation upon arrival in Japan.

  3. Round-Trip Flight Itinerary A printed hard copy of your full round-trip booking is required, clearly stating your full name, departure/return dates and flight numbers. Airlines verify your intent to depart Japan, and boarding will be refused without a return itinerary.

  4. Proof of Sufficient Funds (for inspection upon request) It is recommended to carry supporting financial documents, including credit cards, six months of bank statements or deposit certificates. Airlines reserve the right to verify you can cover all accommodation, catering and travel expenses during your stay.

  5. Supporting Documents Matching Your Entry Purpose (Critical for academic conference participants) Keep printed copies of all official Japanese invitation documents on hand: Letter of Reason for Invitation, Letter of Guarantee, conference acceptance letter and full conference agenda. Airlines may inspect these documents to confirm your purpose of entry.





Notes: ICESD 2027 is not authorized to assist with the VISA process beyond providing the Notification of Acceptance Letter and Invitation Letter (after registration) issued by the ICESD conference. Should your application be denied, ICESD cannot change the decision of the Chinese Ministry of Foreign Affairs, nor will ICESD engage in discussion or correspondence with the MOFA or the Embassy of China on behalf of the applicant.
